Privacy Policy
Last updated: 5 October 2026
M + G Property Solutions (“we”, “us”, “our”) is the data controller for the personal information described here. This notice explains what we collect, why, who we share it with, how long we keep it and what rights you have.
It is written to meet Articles 13 and 14 of the UK GDPR, together with the Data Protection Act 2018 as amended by the Data (Use and Access) Act 2025.
1. Who we are and how to contact us

We are not required to appoint a Data Protection Officer and have not appointed one. Enquiries about this notice go to the email address above — please put “Data protection” in the subject line.
2. What we collect
Information you give us directly. Your name, email address, telephone number, the address and postcode of the property, and your description of the work — including measurements and any photographs you send. We keep our correspondence with you, including messages sent by email, text or WhatsApp when we use those to arrange a job.
Information we receive from others. Where you find us through a trade directory or lead service, or where a letting agent, landlord or family member arranges work on your behalf, we receive your contact details and the job details from them. We use that information for the same purposes set out below.
Information collected automatically. Our server records your IP address, browser and device type, the pages you view and the page that referred you. Our enquiry form records your IP address and basic interaction signals to distinguish real enquiries from automated spam. If you click Accept on our cookie banner, Google Analytics also collects information about your visit: the pages you view, how long you stay, the website or search that brought you here, your approximate location (town or region) and your device and browser type. It uses a randomly generated identifier stored in a cookie, and we only look at the results in aggregated reports. With your consent we also count when visitors tap our phone, email or WhatsApp links or send the enquiry form. The content of your message is not sent to Google.
Photographs of work. We take photographs before, during and after a job. These serve two separate purposes, and we treat them differently — see section 3.
Keys and access details. Where you ask us to hold a key or provide alarm details so work can go ahead in your absence, we keep a record of that arrangement for as long as we hold the key.
We do not collect special category data such as health information, and we do not carry out automated decision-making or profiling.
3. Why we use it, and our lawful basis
- Answering enquiries and preparing quotations — taking steps at your request before entering a contract (Article 6(1)(b)), and our legitimate interests in responding to people who contact us (Article 6(1)(f)).
- Carrying out the work, scheduling, access and invoicing — performance of our contract with you (Article 6(1)(b)).
- Photographs kept as a record of the job — our legitimate interests in evidencing the condition of a property before and after work, and in resolving any later dispute (Article 6(1)(f)).
- Photographs published on our website or social media — your consent (Article 6(1)(a)), asked for separately and never assumed. You can withdraw it at any time and we will remove the images.
- Accounting, tax and insurance records — compliance with a legal obligation (Article 6(1)(c)).
- Protecting the website and enquiry form from spam and abuse — our legitimate interests in keeping the site secure (Article 6(1)(f)).
- Handling complaints, disputes and claims — our legitimate interests in establishing, exercising or defending legal claims (Article 6(1)(f)).
- Website analytics (Google Analytics) — your consent (Article 6(1)(a)), given by clicking Accept on our cookie banner. You can withdraw it at any time with the Cookie settings button at the bottom of the screen.
Providing your contact details and the property address is a contractual requirement — without them we cannot quote for or carry out work. Everything else is optional.
We do not sell your personal information, and we do not share it with anyone for their own marketing.
4. Who we share it with
- Our website host and email provider, who store the site and our correspondence on our behalf.
- Subcontractors and other trades, where a job needs work we do not carry out ourselves — and only the details needed to do it.
- Our accountant, insurer and, if needed, legal advisers.
- Public authorities, regulators or courts, where the law requires it.
- Google, which provides Google Analytics to us as a data processor, only if you accept analytics cookies.
Anyone processing your information on our behalf must keep it secure and use it only on our instructions.
5. Transfers outside the UK
Our hosting and email providers may process information on servers outside the United Kingdom. Where that happens we rely on UK adequacy regulations, or on safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. Google may process Google Analytics data outside the UK, including in the United States. Those transfers are covered by the UK–US data bridge and by Google’s data processing terms.
6. How long we keep it
- Enquiries that do not become work — 12 months, then deleted.
- Customer and job records — six years after the last work carried out, reflecting the limitation period for contract claims in Northern Ireland.
- Accounting and tax records — at least six years, as HMRC requires.
- Job photographs — six years as part of the job record; images published with your consent are removed as soon as you withdraw it.
- Key-holding records — until the key is returned, then deleted.
- Website and security logs — a short rolling period, normally no more than 30 days.
- Google Analytics data — 14 months, then deleted automatically.
7. How we protect it
The site runs over an encrypted HTTPS connection. Access to enquiry records and correspondence is limited to those who need it, devices are password protected, and software is kept up to date. No transmission over the internet is completely secure, and while we take reasonable steps we cannot guarantee absolute security.
8. Your rights
You have the right to be told how your information is used and to request a copy; to have inaccurate information corrected; to ask us to delete it where there is no continuing reason to hold it; to restrict how we use it while a concern is resolved; to receive it in a portable format; to object to processing based on legitimate interests; and to withdraw consent at any time where we rely on it.
Email info@mgpropertysolutions.co.uk to exercise any of these. There is no charge, we will respond within one month, and we may ask you to confirm your identity first.
9. Complaints
Please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office:
Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF — 0303 123 1113 — ico.org.uk
10. Cookies and embedded content
We only set the cookies this website needs to work, plus Google Analytics cookies if you click Accept on our cookie banner. Our Contact and Areas We Cover pages link to Google Maps instead of embedding a map, so no Google cookies are set unless you choose to open Google Maps. Full detail is in our Cookies Policy.
11. Children
Our services are aimed at adults and we do not knowingly collect information about anyone under 18. If you think a child has given us information, tell us and we will delete it.
12. Changes to this privacy policy
We review this notice regularly and will update it when our practices change. The date at the top shows the last revision, and we will make significant changes clear on this page.
